As companies experience rapid growth, maintaining consistency and trust across hiring practices becomes a critical challenge. Udemy, a leading global learning platform with 69+ million learners and 15k+ enterprise customers, faced this exact hurdle during its hypergrowth phase. Recognizing the urgency to streamline its recruiting operations, Udemy worked with Greenhouse to implement structured hiring practices.

The need for structure

When Joshua Navarro joined Udemy as the Director of Global People Operations in 2021, the company was in hypergrowth mode. The demand for increased structure in hiring became evident, especially as Udemy went public and the volume of paperwork surged. To address these challenges, Navarro implemented Greenhouse as Udemy’s applicant tracking system (ATS), aiming to redefine the company’s recruiting processes.

The implementation of Greenhouse brought structure and clarity to the hiring process. Key initiatives included the development of job kickoff forms and standardized interview plans, which ensured a consistent experience for both hiring managers and candidates across various locations. This early alignment fostered trust among all stakeholders, creating a more organized and transparent hiring process.

Building alignment across teams

Beyond standardizing processes, Udemy also sought to increase efficiency by reducing manual tasks, allowing recruiters to focus more on strategic objectives. In early 2023, Udemy integrated Greenhouse HRIS Link, connecting Greenhouse with its existing HCM, Workday. This integration seamlessly synced data between systems, reducing manual data entry and providing real-time visibility into the hiring pipeline. This investment in Greenhouse showed Udemy they could have the best of both worlds: efficiency and quality. “Investing the time to create process, structure and consistency is invaluable for your team and business,” said Joshua.

With recruiters now equipped to leverage data through in-app reports and dashboards, Udemy’s hiring managers receive detailed progress updates grounded in metrics rather than anecdotes. This shift toward a data-driven approach has enhanced trust and collaboration across teams, leading to better decision-making and improved candidate experiences.

Udemy’s approach to building a culture of trust and embracing efficiency highlights the importance of structured hiring practices, early alignment and data-driven strategies. By investing in a cohesive process and technology with the right hiring software, companies can not only scale their operations but also foster a culture of shared accountability and transparency across teams.
